GymRealm introduces prospect records for people who have expressed interest but have not bought an eligible membership. Teams can collect them through a multilingual, embeddable web form that can reflect portal colors, request a location and capture name, phone and email. Alternatively, staff can import an Excel template with location and source channel, including Website, Meta, Google, Phone and Referral. Imports report accepted, duplicate and rejected rows, with checks against existing leads and customers.

Mobile app
Facilities can extend transactional email templates to send automatic push notifications through the GymRealm app. A template needs the mobile channel enabled and short notification text; the email subject becomes the push title. Personalization tags can insert member, club, membership, class or appointment details. The member must have the app installed and be logged in. Email remains available alongside the push message.

Integration
GymRealm adds Stripe Bacs Direct Debit for UK facilities collecting recurring membership fees. Members authorize charges to their bank accounts through Stripe; GymRealm can then use that payment method for recurring billing. Bacs is positioned as an alternative to cards that can reduce some processing costs and avoid issues caused by expired or replaced cards.

A gym may request a selfie during the digital waiver signing process. The image is retained with the signed waiver, allowing reception to review the photograph alongside the signature and customer record. This is particularly relevant when forms are completed remotely or before a class or visit.

Managers can assign permitted age ranges separately to memberships, individual visits and classes or group events. When a customer selects a participant profile, GymRealm checks that person's age against the configured rule and prevents an ineligible purchase or booking. Examples include children's programs, youth memberships, student offers and adult-only sessions.

An administrator can allow customers to finish registration without confirming an email address first. This applies to registration through the customer profile and mobile application and is intended to reduce waiting or failed onboarding when confirmation mail is delayed or an address was entered incorrectly.
